Our Project Management Approach
At Social Architects LLC, we use a structured, client-centered project management approach to ensure high-quality outcomes across all our service offerings—whether you're engaging us for nonprofit training, capacity building, strategic planning, or community engagement initiatives.
Here’s how our process works:
Discovery Call
Every engagement begins with a discovery call. This is our opportunity to learn about your organization’s goals, timelines, and needs so we can recommend the right scope of work and deliverables.Proposal & Estimate
Within 48–72 hours of the discovery call, you will receive a customized proposal and project estimate. Proposals are valid for up to 7 business days. If you're ready to proceed, you may sign the agreement electronically.Project Kickoff
Upon receipt of the initial deposit, we’ll schedule your client onboarding and kickoff meeting. During this session, we’ll walk through project milestones, define communication expectations, and assign roles and responsibilities.Implementation Phase
Your project will move into the implementation phase, with deliverables scheduled according to the approved scope of work. For projects extending beyond 6 months, we provide a Mid-Year Progress Report to ensure transparency and alignment.Ongoing Communication
Check-in meetings are scheduled in advance during onboarding to support accountability, collaboration, and feedback throughout the project lifecycle.Final Deliverables & Report
Once all project deliverables are completed and the final payment is made, your organization will receive a comprehensive final report, inclusive of project outcomes, tools delivered, and next-step recommendations.

Grants, LOI & Proposal Development Process – Summary
Initial Project Discussion
The client and consultant review the grant opportunity, including deadline, eligibility, fees, and project scope.Proposal & Estimate
A project proposal and estimate are prepared and shared with the client.Agreement Confirmation
The client signs the proposal, and a project kickoff meeting is scheduled to gather background information and confirm the scope of work.Document Collection
The client provides requested materials in response to a “Documents Needed” memo to support the grant submission.Draft Development
A first draft of the proposal is created and sent to the client for review.Revisions
The client reviews the draft, submits any feedback or changes, and the final edits are made.Final Submission
The final draft is emailed for approval and submission to the funder.
